The Luminix Co., Ltd ("Luminix", "we", "us", or "our") provides Luminix HRM, a workforce-management service for organizations and their authorized personnel. For privacy questions or requests, contact us at info@luminix.com.

Depending on your role and the features your organization enables, we may collect:

• Account and profile information: name, work email, phone number, job title, department, employee identifier, role, and login credentials or authentication data.
• Employment and HR information: attendance, leave requests, work schedules, payroll-related records where enabled, performance or employment records, and administrator notes.
• Documents you or your organization provide: résumés, certificates, identification or work-eligibility documents, and other files required for HR processes.
• Communications and support information: messages, inquiries, and details you provide when contacting us or using support features.
• Technical and usage information: device type, operating system, app version, IP address, log data, and feature or error information used to operate, secure, and improve the service.
• Permissions-based data: only when you choose to grant a device permission, such as camera or file access to upload a document, or notifications to receive work-related alerts. You can change permissions in your device settings.

We collect information directly from you, from your employer or authorized administrators, automatically when you use the service, and from integrations that your organization authorizes. We do not knowingly collect personal information from children under the age required for employment in their jurisdiction.

We use personal information to:

• create and manage accounts and provide HRM features;
• manage workforce records, attendance, leave, recruitment, and other organization-enabled workflows;
• authenticate users, prevent fraud or misuse, and protect the security of the service;
• respond to requests, provide support, and communicate service-related notices;
• maintain, troubleshoot, and improve the service; and
• comply with applicable law, enforce our terms, and protect the rights, safety, and property of users, organizations, and Luminix.

We do not sell personal information or use it for cross-context behavioral advertising.

We may share information only as necessary with:

• your employer or organization and its authorized administrators, to provide the HRM service;
• service providers that host, secure, support, or deliver the service, bound to protect the information and use it only for the services they provide;
• authorized integrations selected by your organization, according to the organization’s configuration and instructions;
• professional advisers, regulators, law enforcement, or other parties where required by law or needed to protect legal rights and safety; and
• a successor organization in connection with a merger, acquisition, financing, or sale of all or part of our business, subject to applicable law.

We require third parties that process personal information on our behalf to provide protections consistent with this policy and applicable law.

We retain personal information for as long as needed to provide the service to the organization, meet the purposes described in this policy, resolve disputes, enforce agreements, and meet legal, accounting, or reporting obligations. Retention periods may be determined by your employer’s instructions and applicable employment law. When information is no longer required, we delete, anonymize, or securely archive it in accordance with our retention practices and legal obligations.

Subject to applicable law, you may request access to, correction of, deletion of, or a copy of your personal information, or object to or restrict certain processing. Where processing is based on consent, you may withdraw consent at any time; this will not affect processing completed before withdrawal. We may need to verify your identity and may direct requests involving employer-controlled information to your organization.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your account credentials confidential and notify us promptly of suspected unauthorized access.

Your information may be processed in countries other than the country where you live or work. When we transfer information internationally, we use appropriate safeguards as required by applicable law.

We may update this policy when our practices, services, or legal requirements change. We will post the updated version here and revise the “Last updated” date. For material changes, we will provide additional notice where required by law.
